How to make a special request for your reservation:
Special requests, such as bed type, proximity to elevators, having a fridge in room, etc can be entered when you make your booking. How to change your hotel reservation:
If you need to change or cancel your hotel reservation, please contact the hotel directly.
Cancellation policy:
All reservations are subject to a non-refundable deposit. After Monday, 20 October 2025, the hotel will charge you for the non-refundable deposit equal to the full length of your stay. Please email GlobalConferences@gartner.com if you are no longer planning to attend the conference, so we can cancel your registration.
Hotel confirmation number:
You will receive a hotel confirmation number directly from the hotel once you book your room using the hotel’s reservation link.
Pre-authorization for incidentals charges:
Upon check-in, the hotel may require a pre-authorization on your credit card. This will be disclosed in your hotel confirmation email from the hotel. Note that this amount varies by hotel. Any unused authorized funds will be released back to you between 3-5 business days after your departure. Because of this hold, it is recommended that you use a credit card for these authorizations so that your personal funds on your debit card will not be affected during your stay.
Pre-paying hotel charges:
You can pre-pay or have someone else pay for your hotel reservation using a Credit Card Authorization form. This form is provided by the hotel and can be completed with them directly after Monday, 20 October 2025. *Note: Some hotels may require this to be done 14 days prior to arrival. Please plan accordingly.
Potential hotel booking scams to be aware of:
It is possible that you may receive phone calls, emails or see websites from unaffiliated organizations and individuals who claim to be acting on behalf of Gartner and offer assistance booking a hotel room for the conference. Please note that Gartner has not authorized them, or anyone else, to contact you on our behalf. Gartner does not recommend that you do business with them or provide them with your contact or payment information or other personal details. If you choose to do so, you solely assume the risk.
