Gartner Conferences will start accepting hotel reservations from registered attendees on Friday, October 24, 2025.
How to make a hotel reservation:
Hotel reservations must be made directly with Gartner by logging into Conference Navigator or calling the Gartner Global Conferences team before 5:00 p.m. EDT on Friday, September 18, 2026. You must be registered for the event in order to take advantage of the discounted hotel rates, which are offered on a first-come, first-served basis and may sell out.
Do not contact hotels directly; the conferences’ discounted rates can be obtained only through the Gartner registration process.

Minimum night stay requirements:
Reservations made at the Walt Disney World Swan and Dolphin Resort require a 4-night minimum stay. All other Gartner IT Symposium/Xpo hotels require a 3-night minimum stay.
Only see certain hotels available:
The hotels you see are based on the dates selected and availability at the time of your booking. Please note that Walt Disney World Swan and Dolphin Resort, Swan Reserve, Disney's Yacht and Beach Club Resorts and Disney's Boardwalk Inn are available exclusively to Executive Programs Primary Members, Team Leaders, ExPV2 Standalone, Gartner for CIO primary members, Gartner for MSE CIO clients and attendees from Global Enterprise organizations. Access to these hotel rooms is subject to your membership status at the time of the conference.
Attendees who have been approved into the CIO Circle will have access to a limited number of rooms at the Disney’s Boardwalk, Yacht & Beach Club Resort and the Swan Reserve. All rooms are subject to availability, and are sold on a first-come, first served basis.
Government rates available for public sector attendees:
A limited number of Government rates are available to members of the United States public sector on a first-come, first-serve basis. If the public-sector rate is no longer available and you chose to book a room at the commercial rate, please note that the price will not be adjusted, regardless of your public-sector status.
Attendees booked at the government rate will be notified of any changes to the GSA rate and you can also reference the published GSA rates here. Rooms booked at the per diem rate will be subject to the same cancellation policies as outlined below.
The hotels require that you present a valid government or military ID at check-in to reconfirm your eligibility to receive the per diem rate.
For members of the public sector from outside the United States, the Marriott Villages (Courtyard by Marriott, SpringHill Suites, and Fairfield Inn & Suites) will match the GSA rate.
Hotel cancellation policy:
After Friday, September 18, 2026, all reservations are subject to a non-refundable deposit equal to minimum night stay. This can only be waived if the reservation is canceled within 3 business days of the time of booking and prior to the cutoff. After Friday, September 18, 2026 the hotel will charge you for the non-refundable deposit equal to minimum night stay.
Please email GlobalConferences@gartner.com if you are no longer planning to attend the conference, so we can cancel your registration.
How to change your hotel reservation:
If you need to change or cancel your hotel reservation or look into current availbility prior to 5:00 p.m. EDT on Friday, September 18, 2026, log into your registration profile.
After 5:00 p.m. EDT on Friday, September 18, 2026 all reservation changes will need to be made directly with the hotel.
Hotel deposits and payment:
After Friday, September 18, 2026, all reservations are subject to a non-refundable deposit equal to the minimum night stay.
Government rated reservations will not be charged a deposit until check-in, with the exception of those staying at Courtyard, Fairfield Inn and SpringHill, Disney’s Yacht, Beach, Boardwalk, Caribbean and Coronado resorts.
If a receipt for this charge is required, you can request a copy from the hotel’s billing department after Monday, September 28, 2026
If you want to change the method of payment for this deposit, this can be done using a Credit Card Authorization form. This form is provided by the hotel’s billing department and can be requested from them directly after Monday, September 28, 2026. *Note: Some hotels may require this to be done 14 days prior to arrival. Please plan accordingly.
Pre-authorization for incidentals charges:
Upon check-in, the hotel may require a pre-authorization on your credit card. This will be disclosed in your hotel confirmation email from the hotel.
Note that this amount varies by hotel. Any unused authorized funds will be released back to you between 3-5 business days after your departure. Because of this hold, it is recommended that you use a credit card for these authorizations so that your personal funds on your debit card will not be affected during your stay.
Pre-paying hotel charges:
You can pre-pay or have someone else pay for your hotel reservation using a Credit Card Authorization form. This form is provided by the hotel and can be completed with them directly after Monday, September 28, 2026. *Note: Some hotels may require this to be done 14 days prior to arrival. Please plan accordingly.
Booking multiple reservations:
To book multiple reservations for our team/company, you must call the Global Conferences team at 855 761 9211 and be able to provide the names, email address, arrival/departure dates, and payment details for everyone in your team/group. Please note that everyone must be registered in order to book a hotel room. Also, a credit card is required to secure each reservation and the card that is provided will be charged the non-refundable deposit by the hotel.
Hotel confirmation number:
The hotel will issue you an email with your confirmation details after Monday, September 28, 2026.
How to make a special request for your reservation:
Special requests, such as bed type, proximity to elevators, having a fridge in room, etc can be entered when you make your reservation. Note that all requests are based on hotel availability and are not guaranteed.

Getting to the conference:
If you are staying at one of Gartner’s partner hotels that are not on the main campus. We offer transportation from the official Gartner IT Symposium/Xpo 2026 hotels. Shuttles will run every 10-20 minutes throughout the conference hours. On the evening of the Special Event the shuttles will return to the hotels on each of the bus routes.
Parking options:
If you’re driving in for the conference, or staying at a hotel that is not listed as an official Gartner IT Symposium/Xpo hotel, you may park at Blizzard Beach and we will provide shuttle service to the Dolphin Hotel. Shuttles will run throughout the conference hours. On the evening of the Special Event the shuttles will return back to this lot as well. Please note there is no parking at the onsite hotels for the conference.
Potential hotel booking scams to be aware of:
It is possible that you may receive phone calls, emails or see websites from unaffiliated organizations and individuals who claim to be acting on behalf of Gartner and offer assistance booking a hotel room for the conference. Please note that Gartner has not authorized them, or anyone else, to contact you on our behalf.
